Executive Secretary

Responsibilities:

  • Provide Senior Level secretarial, clerical and administrative support to Chief Executive Officer(CEO)
  • Assist to CEO the majority of the time and must take responsibilities of an operational nature
  • Manage access to CEO by screening calls and visitors to determine appropriate course of action
  • Serve as a liaison with delegated authority between CEO and business units by relaying instructions and information and following commitments through to completion
  • Interact and communicate with a strong degree of judgment and discretion
  • Maintain CEO’s Calendar, schedule appointments
  • Locate and assemble information for various reports, briefings, conferences and meetings
  • Identify and resolve problems that would not require CEO’s scope or responsibilities
  • Problems are addressed in accordance with priorities, policies commitments, and organizational goals of the CEO
  • Independently research, develop and draft letters, memos, or reports to communicate the CEO’s decision, ideas and agenda
  • Independently communicate with English speaking individuals if necessary
  • Establish and maintain paper and electronic files and records for the CEO
  • Manage and monitor a variety of information impacting the CEO’s responsibilities
  • Possess cultural awareness and sensitivity
  • Punctual and able to meet dead-lines
  • Able to report, communicate and share the necessary information to the right person in a timely manner according to the level of urgency and importance

 

Human Resources Coordinator

Job Purpose

To assist the HR Manager in clerical and administrative support in human resources functions and will be responsible for all personnel matters including recruitment, benefits administration, maintenance of personnel files, and other documentations. Human resources coordinators work on a team with other human resources professionals to assist employees.

Roles and Responsibilities

  • Assist in recruitment process, short listing applications, contacting and scheduling for interviews
  • Assist in Implement performance management system including developing guidelines, forms and supporting documents and materials.
  • Keep performance reviews are recorded, provide assistance in assessment, plan, monitor and evaluate staff skills needs and trainings.
  • Assist in staff development and training is provided in accordance to the Staff Development policy and sees that staff follows the rules and regulations.
  • Resource mapping, identify and research qualified trainers, methods, consultants for provision of relevant training for staff.
  • Assist in preparation of staff induction; compile supporting materials, arrange schedule, agenda and meeting rooms.
  • Assist in administration of staff compensations and benefits in line with the HR Policy and procedures.
  • Support in conducting or participating in salary and benefits survey with other comparator organizations.
  • Assist in job evaluation process in coordination with the respective line Managers and HR Manager in Recruitment as needed.
  • Ensure all Personnel Files are complete, well filed and easily retrievable, maintain confidentiality.
  • Assist in cataloguing and maintaining human resources (hard copies) filing system.
  • Arrange for printing and distribution of HR materials and documentation as requested.
  • Dispose unwanted materials and documents.
  • Be approachable and helpful to staff at all times, to create a perception of HR as a support unit.
  • Maintain proper record of staffs List, leave benefitand to update as necessary.
  • Compile personnel data information and update on a regular basis.
  • Remain familiar with all labor laws and ensure compliance.
  • Perform other tasks as assigned by your supervisor.
  • Knowledge of the methods and procedures used in collecting, analyzing, interpreting and reporting data.
  • Work on behalf of Dy.HR Manager as and when needed.

Requirement

  • Bachelor’s degree or equivalent level of work experience.
  • Good communication and interpersonal skills and ability to work as part of a team.
  • Excellent communications skills, including English 4 Skills.
  • Skill in both verbal and written communication.
  • Three years professional working experience in the HR Field.
  • Computer proficiency in word processing.
  • Experience working with a diverse workforce.
